Useful when paperwork goes out before the order is paid. ## FAQ — Invoice numbering Q: Why can't I use the Shopify order number as an invoice number? A: A Shopify order number follows a format you don't control, never resets for a new financial year, and counts orders you may never invoice. Tax authorities and accountants generally expect a sequence in a format you define, so the app keeps its own sequences alongside Shopify's order numbers. Q: How do I set up invoice numbering? A: In the invoice numbering settings, configure each sequence: prefix and suffix (e.g. INV-2026-), start number, zero padding (e.g. INV-000123), and reset period (yearly, monthly, never). Invoices, draft orders, and credit notes have independent sequences, so a refund never consumes an invoice number. Q: When does an order get its number? A: You choose the trigger: order created, paid, or fulfilled. Draft orders are numbered when the draft is created, credit notes when a refund is made. Assignment is idempotent, so an order never picks up two numbers, and previewing a template never consumes one because numbers are assigned on the server. Q: Can I keep some orders out of the sequence? A: Yes. Exclude point of sale orders, and set a start date so orders placed before numbering was switched on stay out of the sequence. A: Each document type has its own editor. Line item columns: SKU, vendor, HS code, country of origin, barcode, weight, unit and total price, per-line tax, tax-exclusive prices, discounts, comments, reason codes, product images, variant layout. Totals: subtotal, discounts, shipping, duties, tips, gift card payments, refunds, total paid, amount due. Order and customer blocks: order number and date, issue and due dates, payment method, terms and status, purchase order number, tracking number, shipping company, bill-to and ship-to. Q: Can I change the labels, fonts, and colours? A: Yes. Every heading and label is editable, and fonts, sizes, colours, and logo width are configurable. Q: How does tax appear on the document? A: Per rate or combined into one line, with tax-exclusive totals alongside gross figures, duties for cross-border orders, and the customer's tax number (from Additional Customer Fields or a company location) printed on the document. Q: How do I put my company details on documents? A: Company profiles hold the sender identity: name, address, tax number, email, phone, website, logo. Keep several if you invoice under more than one entity, pull them from Shopify locations and keep them in sync, then choose which profile each template uses. Q: Can documents follow local formats or another language? A: Yes. Date, time, currency, decimal, and weight formats per document, address formats per country, and line items printed in a translation locale you choose. With editable labels, the whole document can be issued in the customer's language. ## FAQ — Customers and companies Q: How do I add a new contact? A: Go to the Contacts page, click Add Contact, fill in First Name, Last Name, and Phone (required), optionally add email, tags, notes, and address information, then Save. Q: Can I sync contacts with Shopify customers? A: Yes. When adding or editing a contact, enable Sync to Shopify. That creates or updates the matching Shopify customer record, which is what lets the contact's details reach an order and its documents. A valid email address is required because Shopify uses email as the unique customer identifier. Q: How do I browse and edit Shopify customers? A: Go to Settings and enable Display Shopify Customers. They appear in your contacts list with a Shopify indicator, and you can edit addresses, store credit, Additional Customer Fields, and marketing consent. Changes push back to Shopify automatically.
